Bespoke Planters for Hotels: How to Brief, Specify, and Order Custom Commercial Planters

  • 8 min read

Specifying custom planters for a hotel project is a different process than selecting from a standard catalogue. Dimensions, finishes, drainage configurations, and lead times all need to be defined before fabrication begins. The more complete your brief, the smoother the production and delivery cycle.

This guide covers the full ordering process for bespoke hotel planters: how to structure your brief, what to specify for dimensions, materials, drainage, and customization, and how to prepare a quote request that gets you an accurate response the first time.

For full RFQ documentation and a complete specification checklist, see Urban Pot's commercial planter specification guide for architects. For hospitality-specific budget benchmarks and procurement timelines, see Urban Pot's hotel planter procurement guide.

What Makes Hotel Planters a Custom Specification

Hotel planters operate under constraints that standard commercial planters are not built for. Finish consistency matters across every unit on a property, because mismatched powder coat tones read as a specification failure in a finished hospitality space.

Dimensions often have to work around structural elements: column bases, drainage channels, slab edges, service access panels. Weight limits apply on terraces, pool decks, and rooftop amenity areas where load calculations were done long before the planter order came in.

Beyond the technical constraints, hotel projects typically involve multiple decision-makers: the architect or interior designer holding the design intent, the FF&E coordinator managing procurement timelines, and the general contractor coordinating site access and installation sequence. Getting sign-off from all three before fabrication begins prevents conflicting approvals mid-production.

The brief has to be complete before the RFQ goes out.

Start with a Clear Brief

A complete brief prevents revision cycles after shop drawings are issued. See the commercial planter specification guide for a full specification checklist.

Budget range. Providing a realistic budget range at the brief stage allows the manufacturer to recommend the right material and configuration upfront rather than designing to a spec that cannot be delivered within the project budget. Establish it before moving to dimensions.

Zones, quantity, and dimensions. Identify every location where hotel planters will be installed: entrance, lobby, pool deck, rooftop terrace, courtyard, restaurant patio. Note the quantity per zone and document footprint and height requirements separately for each zone. A porte-cochere installation has different constraints than a rooftop bar. Do not average them into a single size.

Indoor or outdoor. This affects material selection, finish specification, and drainage requirements. Outdoor installations in Canadian or northern US climates require materials and coatings rated for freeze-thaw cycling.

Substrate and installation surface. Concrete slab, pavers, rooftop membrane, or interior flooring each affect drainage design, anchoring method, and whether the planter needs integrated feet or a raised base to protect the surface below.

Plant material and soil depth. The planting specification determines minimum interior depth: 300 to 450mm for groundcover and annuals, 450 to 600mm for shrubs, and 600mm or more for trees and large specimen plants.

Dimensions and Structural Constraints for Custom Hotel Planters

Dimensional errors are the most common cause of fabrication revisions on hotel planter orders. Getting dimensions right in the brief prevents shop drawing revision cycles that add days to the schedule.

Exterior vs. Interior Dimensions

Always specify both. Wall thickness on aluminum planters typically runs 3 to 5mm; on fiberglass, 4 to 6mm depending on the mold configuration. A 500mm exterior height aluminum planter with a 50mm drainage layer and 5mm base plate delivers roughly 440mm of usable growing depth, sufficient for shrubs but marginal for specimen trees. Include this calculation in the brief so conflicts are flagged before production.

Drainage Allowance

All hotel planters require a drainage layer between the base and the growing medium. A standard gravel or aggregate layer runs 75 to 100mm; an integrated drainage cell system compresses that to 40 to 50mm. Factor this into the interior height calculation from the start.

Elevated and Rooftop Installations

Confirm the live load capacity of the structural slab before finalizing planter size and material. A fully planted 600mm x 600mm x 600mm aluminum planter with saturated growing medium can exceed 150kg. See Urban Pot's lightweight planters guide for rooftop load restrictions for material options and load calculations.

Clearances and Installation Tolerances

Specify the installation footprint including any base plate or foot clearance. On finished tile or stone floors, include a raised feet or neoprene pad specification to protect the surface under load. Contact Urban Pot to confirm available base configurations for your installation surface.

Material and Finish Selection for Bespoke Hotel Planters

Material selection is driven by installation environment, design intent, and maintenance expectations. The right material for a rooftop pool deck is not necessarily the right material for a marble-floored lobby, even on the same property.

Aluminum

The most specified material for custom hotel planters across North America. Lightweight, corrosion-resistant, and takes powder coat finishes consistently across large unit counts. Performs well in freeze-thaw climates and the strength-to-weight ratio makes it the default choice for rooftop and elevated terrace installations.

Fiberglass

A strong option for interior installations where the visual requirement is a stone, concrete, or textured finish that aluminum cannot replicate. Confirm the coating specification for any exterior application, as UV exposure over time can affect gel coat finishes. Browse Urban Pot's fiberglass planter range for available profiles and finish options.

Corten Steel

Specified where the weathering patina is part of the design intent. Note that the patina process produces runoff that can stain adjacent paving and light-colored hardscape during the first 12 to 24 months.

Finish specification

Specify finishes using RAL color codes rather than descriptive references. This locks the color across production runs and future reorders, which matters on phased hotel projects.

Drainage and Irrigation Requirements

Drainage is a structural decision, not a finishing detail. A hotel planter without an adequate drainage system will waterlog the growing medium, accelerate root rot, and in elevated installations, risk water penetration to the substrate below.

Standard drainage

Most commercial hotel planters are specified with a perforated base plate and a gravel or aggregate drainage layer. Confirm the drainage path with your general contractor before the order is placed.

Integrated drainage cells

For installations where a gravel layer adds too much weight or depth, molded drainage cell systems compress the drainage layer to 40 to 50mm while maintaining adequate water movement. Common on rooftop and terrace installations where every kilogram counts.

Self-watering and irrigation integration

For large hotel installations with high plant counts, integrated irrigation reduces long-term maintenance demand significantly. Urban Pot's custom planters can be configured with integrated irrigation systems at the fabrication stage. Specify this in the brief upfront as retrofitting after delivery is more complex and more expensive.

Slab and membrane protection

On rooftop and terrace installations, the drainage outlet must direct water away from the waterproof membrane. Specify a raised base or drainage feet if the installation surface is a protected membrane system. Coordinate this with your waterproofing contractor and general contractor before fabrication begins.

Logo, Branding, and Customization Options

For hotel groups and branded properties, planters are part of the guest-facing environment. Finish color, form, and surface treatment all contribute to how the space reads against the broader brand standard.

RAL Color Matching

The most common customization request on hotel projects. Specify the exact RAL code from your brand guidelines rather than a descriptive color reference. If you are working from a Pantone reference, Urban Pot can cross-reference to the nearest RAL equivalent before production.

Textured and Specialty Finishes

Beyond standard powder coat, planters can be finished in matte, satin, gloss, metallic, and textured coatings. Confirm the finish category at the brief stage so the right coating is specified for the installation environment.

Custom Geometry and Form

Rectangular, tapered, curved, and modular configurations are all available. For large-format installations, Urban Pot's modular edging system allows continuous planting runs with watertight vertical joints. Confirm the configuration that fits your project at the brief stage.

Logo and Surface Branding

Embossed or debossed logos are achievable on certain mold configurations. Laser-cut screens and perforated panel inserts are another option for properties that want a branded visual element integrated into the planter structure. Confirm availability at the brief stage as some options require dedicated tooling.

Lead Times for Custom Hotel Planters

Lead times on custom hotel planters are one of the most consistently underestimated variables in hospitality procurement. Treating them as flexible once fabrication has started is the most common cause of installation delays.

Shop Drawings First

Lead time runs from approved shop drawings, not from RFQ submission. The shop drawing review cycle typically adds 1 to 7 days before fabrication can begin.

When To Issue the RFQ

For rooftop and custom hotel planter applications, issue the RFQ no later than schematic design or design development phase. Waiting until construction documents are complete compresses the fabrication window against the project opening date.

Preparing Your Quote Request for Bespoke Hotel Planters

A complete quote request gets you an accurate response the first time. Include the following in your RFQ:

  • Quantity and dimensions per zone, exterior and interior measurements specified separately

  • Installation environment per zone: indoor, covered outdoor, or exposed outdoor

  • Material preference, or a note that you are open to recommendations based on site conditions

  • RAL color code or finish reference

  • Drainage configuration: standard, drainage cell, or integrated irrigation

  • Any branding or customization requirements

  • Target delivery date, site address, and budget range if available

For projects still in early design, Urban Pot's 3D configurator lets you explore size, shape, and color combinations before committing to a formal RFQ.

Once submitted, Urban Pot issues project-specific shop drawings for review and approval before fabrication begins. Changes after shop drawing approval extend the lead time and may affect the quoted price.

Frequently Asked Questions

How far in advance should a hotel project issue its planter RFQ?

For custom and rooftop applications, issue the RFQ no later than schematic or design development phase. Fabrication runs 3 to 8 weeks from approved shop drawings, and the shop drawing review cycle adds another 1 to 7 days before production can begin. Waiting until construction documents are complete compresses the fabrication window against the project opening date.

Can hotel planters be matched to a brand's color guidelines?

Yes. Specify the RAL code from your brand guidelines and Urban Pot matches the powder coat finish across all units. If working from a Pantone reference, Urban Pot cross-references to the nearest RAL equivalent before production. Finish codes are documented at order stage so future reorders and phased deliveries match the original specification.

What is the minimum information needed to get an accurate quote?

Quantity and dimensions per zone with exterior and interior measurements specified separately, installation environment, material preference, finish reference, drainage configuration, and target delivery date. A budget range helps Urban Pot recommend the right material and configuration upfront and avoids a revised quote once missing information surfaces mid-process.

Are custom hotel planters suitable for rooftop and elevated terrace installations?

Yes. Aluminum and fiberglass are the standard specification for elevated installations, but slab live load rating must be confirmed with a structural engineer before finalizing planter size, since a saturated 600mm aluminum planter can exceed 150kg. Urban Pot's lightweight planters guide covers material options and load calculations for elevated hotel applications.

Can the same finish be reordered for future phases or additional properties?

Yes. RAL color codes are documented at the order stage so future reorders match the original specification, even months or years later. This is particularly relevant for hotel groups rolling out across multiple properties or phased developments where finish consistency across all locations is a brand requirement.
